How will our group know where to meet at the airport? Is the meeting point based on the terminal layout or the coach parking area?

Meeting points at terminals depend on the city and airport layout, not on group size.

In Munich, for example, there are two terminals. In Terminal 1, buses can stop at exits A, B, C, or D. In Terminal 2, private cars go left or straight, while buses must go right. Drivers are instructed to meet the group with a name board, and we always provide the driver's phone number. If the sign is delayed or not immediately visible, guests and drivers usually connect via WhatsApp, where a live location pin can be shared.

If our group comes out in stages or gets held up at baggage claim, will the driver wait for us?

If the group gets split up or is delayed, the driver will contact us immediately. However, if the driver has been waiting for more than an hour and we are unable to contact the group leader, the driver will be instructed to leave. In cases of delays at baggage claim or customs, and where only a transfer service has been booked, we can ask the driver if they can wait longer, which may result in an additional charge.

Who will be our main point of contact when we arrive? Will it be the driver on site, or someone coordinating the transfer remotely?

In most cases, around 80 percent of the time, the driver on site is the primary point of contact upon arrival. If the driver cannot be reached, or in the remaining cases, a central BCS dispatcher steps in as the coordinator to help resolve any issues and keep the transfer running smoothly.

Once flight details are shared, they are passed on to the local transport provider, who monitors the flight status and arrival time. This ensures someone on the ground is actively watching the flight and ready to respond if anything changes.

When a flight arrival time changes, how are transfer timings adjusted in practice? At what point are drivers retimed, repositioned, or held in waiting areas?

If a flight is delayed, BCS works directly with the driver to see what adjustments can be made. For long-term charter bookings, the bus will usually remain in the parking area, and any additional waiting time costs are shared transparently with the client.

For one-off transfers, waiting longer depends on the driver's next scheduled job. In these cases, we always check availability and keep the group informed so expectations are clear and there are no surprises.

How does BCS manage situations where a group is delayed at passport control or baggage claim? What flexibility is built in before waiting becomes impractical due to airport parking rules?

If a group is delayed at customs or baggage claim, BCS allows a short waiting window before releasing the driver. This includes around 10 minutes to reach the client, followed by a 15-minute grace period. If more time is needed, we can ask the driver to wait longer, subject to availability and an additional waiting fee agreed with the client.

How is communication handled if there are delays? Who coordinates between the driver, dispatch, and airport rules to keep everything moving?

In most cases, information comes directly from the driver or the group leader to the BCS team. From there, BCS coordinates the next steps, taking into account the vehicle's availability, airport regulations, and whether the client is happy to approve any additional waiting time if needed.

Drivers usually wait around 20 minutes after landing to allow time for baggage collection before entering the parking zone. In some locations, such as Barcelona, drivers wait for the group to call once they have physically reached the bus parking area.
