Transport problems on competition trips almost always start before the trip does. They are planning gaps that were never caught before the vehicle was confirmed. A hotel address arrives a week before departure. A venue entrance turns out to be inaccessible to full-size coaches. An American school group traveled to a football tournament near Barcelona. Their hotel was in the old town of Girona, a city of narrow medieval streets where full-size coaches cannot legally or physically reach most hotel entrances. What happens if we send you the hotel or venue address only a week before the trip?

This happens more often than you would expect. When a club books a full-size coach for a sports event but only sends the address a week before departure, we often find we cannot reach it. European cities have very narrow streets, even the larger ones like Amsterdam, Paris, and Barcelona. Then we have to explain why, which takes time and can cause frustration on the client’s side.

The rules around coach access in European cities are not always obvious, but they are fixed. The earlier we have the address, the more options we have to plan around it.

When you book with us, 100% prepayment is required. If you have not confirmed the exact time, we suggest renting the bus on an hourly basis, so that the vehicle is in standby mode and accessible when needed. If you book with just a day’s notice, we cannot always guarantee availability.

What happens if our match goes into extra time or a penalty shootout?

We address this before the match day starts. We find out the importance of the match and whether extra time and penalties are a possibility. If so, we either plan for a second driver or check with our partners for available vehicles if our transport is already committed.

For high-stakes matches where extra time is a real possibility, waiting time needs to be factored into the booking. If the vehicle was booked as a transfer only rather than hourly, we cannot guarantee we can extend the service. The driver may have other work, and under EU driver working hours regulations there is a legal limit on how long a driver can work in a single shift. That limit does not move regardless of what is happening on the pitch.

Match day transfers are one part of a sports program. The rest of the week needs the same level of coordination. What exactly is included in the price, and what might be billed separately?

What is included depends on the type of service. If the bus is not booked for multiple days, accommodation for the driver is not needed. That applies to local city trips. Vignettes and road tolls are always included in the service cost. Cleaning the bus and preparation before departure are also included. Driver meals, accommodation, or specific paid city entries depend on which service is booked. When clients ask us to include everything, we arrange the driver’s hotel ourselves based on the program schedule.

A Real-World Example: FISE Paris

Coordinating athletes between hotels and the competition venue at staggered times across three days made FISE Paris one of the most complex sports event transportation programs BCS Bus has handled in a single city. FISE Paris is an international extreme sports competition produced in collaboration with VANS, drawing over 500 participants across multiple disciplines for three consecutive days. VANS has been a founding partner of FISE since its early years, making Paris one of the most significant stops on the competition calendar.

The transport program did not run in a single direction.
